Palmer Business License Required

The Alaska Fairgrounds is located within the boundaries of the City of Palmer, and you are required to have a Palmer Business License in order to participate in the show.

If you do not regularly do business in Palmer, you may obtain a special event business license for this event. Please visit https://www.palmerak.org/finance/page/special-event-business-license-0 to apply for this license. You can reach the Palmer Licensing Department at 907-745-3271 with questions.

Vendor Setup

When you arrive for setup, please check in with our staff to pick up your vendor packet, lanyards, and nametags.

The show decorators will begin setting up the pipes, drapes, and electricity early on Friday morning.

IMPORTANT: If you are displaying large items such as tractors, trailers, buildings, or other heavy items that need to be assembled or maneuvered into place, please plan on bringing them in between 8:00 and 9:00 on Friday morning. These items must be in place prior to the setup of the surrounding pipe and drape booths and the electricity. The overhead loading doors into Raven Hall are 12′ wide by 14′ high.

If you are in a regular 10′ or 20′ space, please do not arrive prior to 2:00 on Friday. Raven Hall will be open until 9:00 pm on Friday, and again at 7:00 am on Saturday.

Plan to have your display completely set up by 9:30 on Saturday. The show opens to the public at 10:00.

Vendor Move-Out

The show closes to the public at 5:00 Sunday evening. Although the visitor crowd will begin thinning by mid-afternoon on Sunday, there will still be visitors who have paid for show admittance. As a courtesy to these visitors and to your fellow vendors, please remain at your display space without beginning booth break-down until 5:00.

All items must be cleared out of Raven Hall by 9:00 pm  Sunday.

Vendor Parking

After you have completed your display setup, and during all show hours, please park your personal vehicles at the far ends of the parking area to allow room for show visitors!

Vendor Break Room

The vendor break room is located along the back wall of Raven Hall, and it will be open and available for you and your staff throughout the weekend. We keep it stocked with snacks, drinks, and coffee, and there is a microwave and a refrigerator if you want to keep your lunch cold. This room serves as our office, and there will always be staff available.

If you are working your booth alone, we are happy to provide a staff member to watch your booth when you need to take a break.

Door Prizes, Drawings, and Raffles

All show visitors receive a numbered ticket on entry, and we plan to offer hourly door prize drawings throughout the weekend. If you wish to donate a door prize, please bring the item with you and let our staff know. Door prize donation forms will be included in your vendor packet when you arrive for setup.

Don’t underestimate the value of giving away free stuff at your booth! Many vendors like to have visitors drop names, phone numbers, and email addresses in a bucket for a chance to win something. Of course, this provides you with customer contact information to use for your own marketing, and it helps raise public awareness of your business, products, and services. And people love to win free stuff!

Raffles, where a limited number of numbered tickets are sold for a chance to win – (commonly used for fundraising by nonprofit organizations) are also encouraged, but keep in mind that you must have the appropriate Alaska State Gaming License in order to sell raffle tickets.

Seminars and Presentations

Two classrooms will be available for your use throughout the weekend: The Hoskins Building (adjacent to Raven Hall) and the large room on the back side of Raven Hall. The rooms include an LCD projector, screen, and PA system.

Extra Booth Items

Regular 10′ and 20 ‘ booths have an 8′ high pipe and drape back wall, and 3’ high side rails separating you from adjacent booths. Hooks are provided if you wish to hang signs or banners at your booth. Larger display areas are not surrounded by pipes and drapes. All display areas will have access to electricity.

If you need to rent extra items such as tables, chairs, table linen or skirting, stands, plants, carpeting, or other furnishings for your booth, please contact the show decorators, Special Events Alaska , 907-357-7368 to make rental arrangements.

Fire Safety

When you arrive for setup, make sure you familiarize yourself with the locations of extinguishers, fire alarms, and emergency exits. Covered booths ARE allowed. For example, some vendors may wish to use a pop-up canopy that contains their name, logo, or advertising as a part of their booth display. If you have a covering over your booth area (or anything that could obstruct overhead sprinklers) you ARE REQUIRED to have a fire extinguisher at your booth with a minimum rating of 2A:10B:C and with current inspection date.

Vehicle Displays

This event is subject to Fire Code Official / Fire Department review and enforcement. Compliance is your responsibility. If you are displaying any type of motor vehicle:

  • Fuel tank openings must be locked or sealed in manner to prevent the escape of vapors.
  • Fuel tanks must be the lessor of ¼ capacity or no more than 5 gallons.
  • Fueling or de-fueling on-site is prohibited.
  • There must be an oil drip pan placed underneath the vehicle.
  • Engines are not to run at any time during the show.
  • Batteries must be disconnected, and battery charging is not permitted inside the building.
  • All high-pressure tanks must be emptied or disconnected.
  • Each vehicle must have its own fire extinguisher placed at the left front wheel of the vehicle.
  • 36” of clear access or isles must be maintained around the vehicle.
